Sometimes it is very important to monitor and archive e-mail, especially in the business environment. One example is responsible for all the fault of workers' e-mail sent to the client. Perhaps the simplest way to achieve this goal is to increase the load as the copy or Bcc e-mail address. This is supported by all email clients on the Internet, like Gmail Microsoft Live Mail and Yahoo Mail or on a computer, such as Mozilla Thunderbird or Microsoft Outlook.
The Outlook Auto BCC / CC add-in has been designed specifically for Microsoft Outlook . This allows the installation of automated accounting systems and SS based on the recipient e-mail rules. Possible measures include the provision of all outgoing messages RUL e-mail, e-mail sent to specific e-mail or by e-mail in accordance with the topic sentence or attachments.
You can create additional exceptions to the rules so that some e-mail address and e-mail address has not yet been filed or oversight.

How to Create a New Outlook Profile

The first step in troubleshooting, you should try to do things like uninstalling and reinstalling Outlook is to create a new profile. A new configuration file also suggested that when you upgrade to the latest version of Outlook.
Use the following steps to create a new profile using Outlook 2002/2003:
* Close Outlook.
* Open Control Panel, find the mail program. If you are using Category View in Windows XP's Control Panel to see if the mail program in the category of user accounts.
* Select the Show Profiles button.
* Click the Add button, and make a new profile. Do not copy your existing configuration files.
* Follow the wizard to create your personal data.
The use of existing personal data storage:
* Click Finish in the Profile Wizard, select the new profile from the Mail dialog box, and select Properties, and then e-mail accounts and, finally, to view or change the e-mail accounts.
* Choose a new Outlook data file, and find your existing PST, will be added to the configuration file and set as the default.
* Way to determine your return e-mail accounts dialog box, and select the PST you just said in the new e-mail delivery to the following menu location.
* When you return to E-mail Settings dialog box, select the data files, and delete the extra personal folders from your personal data.
Note:
* When you use the existing PST, you can use the default format of the new pst personal storage box. If you want to create a new PST and the need to use it with older versions of Outlook, select Outlook 97/2002 format.
* Although the new dialog box only to create a new PST, you can choose to use the existing.
If the new configuration file to repair your problem, select the old profile, and press Delete.

Search Folders do not appear in Outlook Web Access

When you create Search Folders in Microsoft Office Outlook 2007 and Microsoft Office Outlook 2003 in a Microsoft Exchange profile, the Search Folders do not appear in Microsoft Outlook Web Access. This cause occur only when outlook used in Cached Exchange Mode. Search Folders in Outlook 2007 and in Outlook 2003 are virtual folders that contain views of all e-mail items that match specific search criteria.
To make the Search Folders available in your Outlook Web Access Search Folders list, you must connect to the same mailbox in Outlook with the Cached Exchange Mode option turned off. To turn off Cached Exchange Mode for the current or the new profile, follow these steps:
1. Close Outlook.
2. Click Start, and then click Control Panel.
3. Double-click the Mail icon.
4. Click Show Profiles.
5. Select your current profile, and then click Properties.
6. Click E-mail Accounts.
7. Click View or change existing e-mail accounts, and then click Next.
8. Select your Exchange account, and then click Change.
9. Click to clear the Use Cached Exchange Mode check box, and then click Next.
10. Click Finish, click Close, and then click OK.
11. Start Outlook.
12.In the Folder List, expand Search Folders. As soon as all the Search Folders have updated, they can be viewed from Outlook Web Access.

Address and print an envelope in Outlook

Lately you might be saying to yourself, "I need to send my CPA that request for a tax estimate, so I guess I'll look up her address in my contacts so that I can write it on the envelope." What! While you're in Contacts, why not have Outlook address the envelope for you? Put the envelope into your printer, and let's get started.
In Outlook
1. In the Navigation Pane (Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder to show the items in the folder.), click Contacts.
2. Click the contact that has the address that you want to print on the envelope.
3. On the Tools menu, click Mail Merge.
4. In the Mail Merge Contacts dialog box, under Contacts, click Only selected contacts.
5. Under Fields to merge, click All Contacts fields if it is not currently selected.
6. Under Document file, click New document if it is not currently selected.
7. Under Merge options, in the Document type list, click Envelopes.
8. Under Merge options, in the Merge to list, click New Document.
9. Click OK.
In Word
1.When Word starts, click OK when you see the following dialog box.
2. In the Mail Merge Helper dialog box, click Setup.
3. In the Envelope Options dialog box, click the Envelope Options tab, and then select the envelope size and font that you want.
4. Click the Printing Options tab, select the printer feed method that you want, and then click OK.
5. In the Mail Merge Helper dialog box, click Close.
6. When the envelope appears, type your return address at the top left corner of the envelope.
7. Click the middle of the envelope where the recipient's address appears.
8. On the Mail Merge toolbar, click Insert Address Block Button image.
9. In the Insert Address Block dialog box, select the address elements that you want, and then click OK. This inserts {Address Block} in the middle of the envelope.
10. On the Mail Merge toolbar, click View Merged DataButton image. The contact's name and address appear.
11. Make sure that your printer has envelopes ready to print. See your printer's manual for instructions.
12.On the Standard toolbar, click Save Button image, and then click Print Button image.

How to delete the Junk Email Rule ?

Note: The Junk mail rules is visible only if you use an Exchange mailbox. We're working on a solution for POP3/IMAP accounts.
Some users are reporting problems with Outlook 2003's junk email filter not working properly. It ignores names on the safe lists and moves their mail to the junk folder, it ignores addresses on the blocked list and leaves them in the Inbox. Changing the junk mail settings doesn't appear to have an effect on what gets filtered - the same amount of junk is filtered on high, low or off.
If this any of the above is happening to you, make sure you have the latest updates installed. If you are using another anti-spam addin, disable it. Running two anti-spam filters can affect Outlook's ability to properly process spam.
If you aren't using a second anti-spam application on your local computer, you can try an experimental solution: deleting the junk mail rule in Outlook. It's a hidden message in the Inbox and you need a special tool to access it. The easiest to use is Outlook Spy. Outlook will recreate the rule and if this solution fixes your problem it means the Junk Email rule was corrupted.
How to do that :-
1. Install Outlook Spy.
2. Find your pst and make a copy. It's usually found at C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\Outlook. A simple right click, copy, right click paste is enough.
3. Start Outlook.
4. Export your rules, just to be safe. (Tools, Rules and Alerts menu).
5. Select the Inbox, if it's not already selected.
6. Click on the IMAPIFolder button on the Outlook Spy toolbar.
7. Click on the Associated Contents tab.
8. Locate the Junk Email Rule. It may be near the end of the list.
9. Select it and press Delete.
10. Close then restart Outlook.
Note :- Outlook will recreate the Junk Email rule when it starts and your junk email settings should not be affected.

Microsoft has just released Service Pack 3 (SP3) for its Office 2003 productivity suite. This update includes all security patches issued since November 2005 and SP2.
The editor of Redmond added to this collection of patches, improving the compatibility of Office 2003 with Vista. "There were some bugs in the use of our suite with the latest version of Windows," says one at Microsoft France. Now, Office 2003 will be compatible with Vista at 100%. With SP3, Office 2003 can now also read standard files created with Office 2007.
In addition, the removal of the "fast" in Word, which creates problems of confidentiality. "Texts or comments, although removed from a document, could still remain committed to this document," says Microsoft. It was in fact metadata can be displayed after deleting the original data.

Currently there is no way to password protect Outlook on startup or to lock Outlook if you need to quickly walk away from your computer other than by using your Microsoft Windows logon password or by using third-party software written specifically to password protect Outlook. However, you can set a password on your Personal Folders file (.pst) Data file that stores your messages and other items on your computer. If you use an Internet e-mail account in Outlook, such as a POP3 or HTTP. Protocol that is used when you access Web pages from the Internet. Outlook uses account, your e-mail messages are delivered to a .pst data file on your computer's local hard disk. You can use a password on your .pst file to help prevent accidental intrusion by other people whom you share your computer with.
Step for How to Protect ?
1.On the Go menu, click Folder List.
2.Do one of the following:
If you have a POP3 e-mail account, right-click the Personal Folders folder, and then click Properties For "Personal Folders" on the shortcut menu.
If you have an HTTP e-mail account (not supported in Outlook 2000), such as MSN Hotmail, right-click the Hotmail folder, and then click Properties For "Hotmail" on the shortcut menu.
3.On the General tab, click Advanced.
4.Click Change Password.
5.In the Change Password dialog box, type your new password and verify it by typing it a second time. The password can be up to 15 characters.
6.Make sure that the Save this password in your password list check box is cleared. This prevents the password from being cached, and you need to type the password each time you run Outlook. Don't forget the password.
7.Click OK three times.
When you click the e-mail account folder, you will be prompted for your password. After you gain access, you won't have to enter the password again for that session. If you exit and then restart Outlook, you will be prompted for the password when you click the e-mail account folder.

How to Minimize Outlook to the taskbar

The notification area feature was introduced with Microsoft Windows XP and is not available in Microsoft Windows 2000 or earlier. The notification area is also known as the system tray.
- On the title bar of the active window, click Minimize Button The program window is minimized to a button on the taskbar.
You can change the default setting to hide the taskbar button, so that it only shows as an icon in the notification area. You can also hide the icon in the notification area.
The Outlook icon in the notification area, at the far right of the taskbar.
The default settings are to display the Outlook taskbar buttons and icon. Therefore, if you are not seeing an Outlook button or icon, it might have been turned off.

The Microsoft Office System does not automatically create a desktop shortcut for each Office program that is installed. However, you can easily create a desktop shortcut. And some how I have to sketch out the details once again before this Monday for a official presentation. But then what i want to share here with you is my experience of sharing the Microsoft Outlook and providing computer Help
Create a desktop shortcut
- Using Microsoft Windows® XP, click Start, point to All Programs, point to Microsoft Office, and then point to Microsoft Office program_name 2003.
Note If you are using Microsoft Windows 2000, you point to Programs instead of All Programs.
- Right-click Microsoft Office program_ name 2003, point to Send To, and then click Desktop (create shortcut).
A shortcut for the Office program appears on your desktop.
To learn about additional ways to customize your desktop, click Start, and then click Help and Support (in Windows 2000, click Help)

How to locate missing .msi files

An .msi file is a database of all the files, settings, and configuration information for the associated application. When you install Office on your computer, the .msi file is saved in a hidden folder. Without this file, Windows Installer cannot update your configuration, install optional features, or apply software updates. Office cannot be installed, repaired, or updated if the .msi file is not found.
Why is the .msi file missing?
The most likely reason for Windows Installer to require the installation CD is because the saved version of the .msi file for Office has been inadvertently or deliberately deleted from your computer. It is also possible that the file is damaged or corrupted.
Occasionally, changing the drive letters associated with partitions on your hard disk can cause this problem to occur — such as changing drive C: to a different letter or moving the hard disk drive from one computer to another. Other possible causes are a damaged or corrupted hard disk or registry file.
What to do when prompted for a missing .msi file
If you are prompted for the location of a missing .msi file, you must provide the original installation CD used to install Office on your computer.
- Make sure that you have inserted your Office installation CD into the CD drive of your computer.
If you installed Office from a network, browse to the network location from which you installed Office.
- Click Retry.
In most cases, these steps should resolve the problem and Office can complete the installation and configuration of the needed component.
Office 2003, Office XP, and Office 2000 provide the Detect and Repair command. You can find the Detect and Repair command on the Help menu of almost all Office programs. Using this command corrects identifiable problems such as missing files, corrupt files, registry omissions, or damaged registry entries. It replaces the .msi file if it was deleted, damaged, or is the wrong version. Using the Detect and Repair command usually requires you to provide the installation CD for the version of Office currently installed on your computer.
How to prevent similar problems in the future
To help avoid this problem in the future, use the following guidelines:
- Do not delete hidden folders or files from any drives on your computer.
- Do not move drives or change their disk identifier (for example, C: to D:).
- Install all needed applications as Run from My Computer instead of using Install on Demand (available from custom installation within Setup).
- Occasionally run the Windows Disk Defragment program to repair cross-linked files, recover lost clusters, and remap bad sectors on your hard disk. Any data present in a bad portion of the hard disk is usually lost and commonly associated with physical damage to the disk. This is most likely the result of high-vibration environments, such as the computer being struck, dropped, or kicked.

If you've used an instant messenger or chat service, you've seen the ubiquitous smiley and frowning faces used to represent happy and sad. These symbols are called emoticons, a combination of the words "emotion" and "icon," and you can insert them to add a personal touch to most Office documents.
The following are some ways that you can insert emoticons, depending on which Office program you are using.
- Insert the emoticon symbol by using the Symbol command on the Insert menu.
- Insert the emoticon symbol by using the Microsoft Windows® Character Map tool.
- Type the keyboard shortcut for the symbol, and then change the symbol to the correct font.
- Use the Office AutoCorrect feature to translate the text of your choice into your chosen symbol.

Note This feature requires Excel, FrontPage, OneNote, Outlook, PowerPoint, Publisher, Word, or Visio.
- On the Insert menu, click Symbol.
Note In Outlook, use the Insert menu in the message window. This requires that you be using Word as your e-mail editor and that your message format be either RTF or HTML. You cannot use symbols with the Plain Text message format.
- In the Symbol dialog box, on the Symbols tab, in the Font box, click Wingdings.
- Scroll to where you will find the happy, sad, and disappointed emoticon symbols, and then double-click the symbol that you want.

12 Tips for better e-mail etiquette

I remember opening my first e-mail account and thinking how much fun it was to send a message to a friend. However, most people now no longer find e-mail simple or fun. E-mail messaging now exceeds telephone traffic and is the dominant form of business communication. Some workers tell me that handling e-mail consumes half of their day. A recent Wall Street Journal report indicates that soon employees will spend three to four hours a day on e-mail.
Don't you wish that every person who received a new Microsoft Outlook e-mail account had to agree to follow certain rules to use it? There are certain professional standards expected for e-mail use. Here are some things to keep in mind regarding professional e-mail conduct:
- Be informal, not sloppy. Your colleagues may use commonly accepted abbreviations in e-mail, but when communicating with external customers, everyone should follow standard writing protocol. Your e-mail message reflects you and your company, so traditional spelling, grammar, and punctuation rules apply.
- Keep messages brief and to the point. Just because your writing is grammatically correct does not mean that it has to be long. Nothing is more frustrating than wading through an e-mail message that is twice as long as necessary. Concentrate on one subject per message whenever possible.
- Use sentence case. USING ALL CAPITAL LETTERS LOOKS AS IF YOU'RE SHOUTING. Using all lowercase letters looks lazy. For emphasis, use asterisks or bold formatting to emphasize important words. Do not, however, use a lot of colors or graphics embedded in your message, because not everyone uses an e-mail program that can display them.
- Use the blind copy and courtesy copy appropriately. Don't use BCC to keep others from seeing who you copied; it shows confidence when you directly CC anyone receiving a copy. Do use BCC, however, when sending to a large distribution list, so recipients won't have to see a huge list of names. Be cautious with your use of CC; overuse simply clutters inboxes. Copy only people who are directly involved.
- Don't use e-mail as an excuse to avoid personal contact. Don't forget the value of face-to-face or even voice-to-voice communication. E-mail communication isn't appropriate when sending confusing or emotional messages. Think of the times you've heard someone in the office indignantly say, "Well, I sent you e-mail." If you have a problem with someone, speak with that person directly. Don't use e-mail to avoid an uncomfortable situation or to cover up a mistake.
- Remember that e-mail isn't private. I've seen people fired for using e-mail inappropriately. E-mail is considered company property and can be retrieved, examined, and used in a court of law. Unless you are using an encryption device (hardware or software), you should assume that e-mail over the Internet is not secure. Never put in an e-mail message anything that you wouldn't put on a postcard. Remember that e-mail can be forwarded, so unintended audiences may see what you've written. You might also inadvertently send something to the wrong party, so always keep the content professional to avoid embarrassment.
- Be sparing with group e-mail. Send group e-mail only when it's useful to every recipient. Use the "reply all" button only when compiling results requiring collective input and only if you have something to add. Recipients get quite annoyed to open an e-mail that says only "Me too!"
- Use the subject field to indicate content and purpose. Don't just say, "Hi!" or "From Laura." Agree on acronyms to use that quickly identify actions. For example, your team could use
to mean "Action Required" or for the Monthly Status Report. It's also a good practice to include the word "Long" in the subject field, if necessary, so that the recipient knows that the message will take time to read. - Don't send chain letters, virus warnings, or junk mail. Always check a reputable antivirus Web site or your IT department before sending out an alarm. If a constant stream of jokes from a friend annoys you, be honest and ask to be removed from the list. Direct personal e-mail to your home e-mail account.
- Remember that your tone can't be heard in e-mail. Have you ever attempted sarcasm in an e-mail, and the recipient took it the wrong way? E-mail communication can't convey the nuances of verbal communication. In an attempt to infer tone of voice, some people use emoticons, but use them sparingly so that you don't appear unprofessional. Also, don't assume that using a smiley will diffuse a difficult message.
- Use a signature that includes contact information. To ensure that people know who you are, include a signature that has your contact information, including your mailing address, Web site, and phone numbers.
- Summarize long discussions. Scrolling through pages of replies to understand a discussion is annoying. Instead of continuing to forward a message string, take a minute to summarize it for your reader. You could even highlight or quote the relevant passage, then include your response. Some words of caution:
- If you are forwarding or reposting a message you've received, do not change the wording.
- If you want to repost to a group a message that you received individually, ask the author for permission first.
- Give proper attribution.
